Terms and conditions
1) Booking Confirmation & Payment
A. Upon selecting a tour package, the client must email a scanned copy of their passport and flight e-ticket (if available) to confirm the booking. Following this, hotel booking will commence and be completed within a maximum of five business days, after which a detailed invoice will be provided to the customer.
B. Payments can be made via bank transfer. A 30% advance payment of the total amount must be credited to the provided bank account of Show Lanka Tours.
C. The full payment must be made if there are less than 10 days remaining before the client’s arrival date after booking confirmation.
D. The remaining balance must be paid within the next 21 days, or the booking will be canceled. A 10% service charge of the full payment will be deducted from the advance payment.
Notes:
The client is responsible for all bank charges in case of bank transfer. No additional charges such as postage fees or booking charges will be applied. Exchange rates are based on the Central Bank of Sri Lanka at the time of booking and are not subject to change. If the balance payment is made upon arrival, the payment must be according to the current exchange rate at that moment. Show Lanka Tours does not accept credit, Visa, or debit card payments in person.
2) Group Booking Payments (10 or More Persons)
A. After confirming a tour package, a 50% advance payment of the total amount must be made within 10 business days.
B. Full payment must be made if there are less than 10 days remaining before the client’s arrival date after booking confirmation.
C. The remaining balance must be paid within the next 21 days, or the booking will be canceled. A 10% service charge of the full payment will be deducted from the advance payment.
3) Cancellation Procedure
Cancellation requests must be made via email, and the client agrees to the following cancellation fees.
A. Cancellations made with 30 or more days’ notice will receive a full refund, less any bank charges.
B. Cancellations made with 21 to 30 days’ notice will incur a 10% cancellation fee.
C. Cancellations made with 14 to 21 days’ notice will incur a 50% cancellation fee.
D. Cancellations made with 7 to 14 days’ notice will incur a 75% cancellation fee.
E. Cancellations made with less than 7 days’ notice will incur a 100% cancellation fee.
F. Failure to arrive at the hotel or no-show at the airport on the arrival date will incur a 100% cancellation fee.
4) Accommodation Adjustments
A. Changes to hotels cannot be made after reservations and booking confirmations are finalized.
B. If a client wishes to change hotels, a notice must be given at least 21 days before the arrival date. Failure to do so will result in the client bearing the hotel charges, and previous reservations cannot be undone, nor are charges refundable.
C. If the selected hotels are unable to accommodate due to overbooking or other reasons, alternative arrangements will be made to provide a similar place with the same conditions.
5) Changes in Itineraries
A. Changes to the itinerary will be considered only if the client agrees to pay any additional charges incurred.
B. Final destinations or accommodation arrangements cannot be undone or changed. Only the route or en-route stops can be adjusted according to the client’s preferences.
6) Refunding Methods
A. After a cancellation, refunds will be processed within 30 business days, minus any service charges mentioned above.
B. Refunds will be made via bank transfer. The exchange rate will be based on the Central Bank of Sri Lanka at the time of booking and will not be subject to change.
7) Group Tour Payments & Refunds
A. An 18% hotel tax will be added to the quoted or advertised prices on the internet. Clients should pay a 30% advance payment to the provided bank account number of Show Lanka Tours when reserving a seat. A seat number will be issued for every traveler, and after receiving it, the advance payment should be deposited.
B. Show Lanka Tours will send a final confirmation letter via email upon receiving the advance payment.
C. The remaining balance must be covered within the next 21 days, or the booking will be canceled, and a 10% service charge of the full payment will be deducted from the advance payment.
D. If a traveler requests private rooms, an additional charge will apply, which will be notified at the time of request.
E. The cancellation procedure is as mentioned in Section 3.
8) Important Notice for Group Tour
A. As scheduled, the tour will start from Colombo Airport on the relevant day.
B. Tourists who are unable to join at the airport on the scheduled day can connect the following day morning by arriving at Colombo Hotel before 08:00 am (For Ramayana Yatra group).
C. For tourists who are unable to arrive at the airport on time, transportation facilities will be provided to the Colombo hotel at no extra charge (For Ramayana Yatra group).
D. All the tourist spots in the itinerary will be covered. If a tourist does not want to visit a tourist place, he can skip it.
E. We expect all travelers to be very cooperative with other travelers. If a tourist causes inconvenience to other tourists or continues to carry out such activities that cannot continue the tour, he will be removed from the group without refund of any amount paid as per the cancellation policy.
9) Sweet Bonanza Coupons
“Sweet Bonanza” refers to the benefits offered by Show Lanka Tours for confirmed bookings. One or two “Sweet Bonanza” coupons will be provided depending on the booked tour package, with values ranging from $10 to $100. The specific coupon will be decided by the company and sent to the client’s email address. These coupons can be used for specific services such as whale watching, and the guide will assist in redeeming them. This benefit is only available for private bookings.
“Sweet Bonanza” offers financial value to clients who confirm their tour package. Clients will receive one or two bonus vouchers ranging from $10 to $100, depending on the booked tour package. These vouchers can be redeemed for specific services, and the guide will assist in the process.
10) Emergency Situations
In case the government of Sri Lanka declares a state of emergency prohibiting entry due to reasons such as unexpected terrorist attacks, natural disasters, civil commotion, riots, or political disturbances, clients will be refunded the full payment within a maximum of 90 business days after submitting a cancellation notice via email. The exchange rate will be based on the Central Bank of Sri Lanka at the time of booking.
11) Acceptance of Terms
By making a payment for a tour package listed on www.showlanka.com or any modified or personal tour itinerary provided and paid for by the client to Show Lanka Tours, the client accepts the above terms and conditions.
